Scheduled exports

A scheduled export creates an immutable export run automatically on a recurring basis. Email recipients receive an authenticated console link; HTTPS webhook destinations receive the verified manifest. The CSV is never attached to email and no R2 credential is exposed. You manage schedules on the Scheduled exports tab of the Reporting & Export page.

What a schedule does

Each schedule defines:

  • What to export (all surveys, or a single survey).
  • How often it runs — daily, weekly, or monthly.
  • How much history to include — a rolling window from 1 to 366 days.
  • Where it is delivered — by email or to an HTTPS webhook. SFTP is not available for new schedules.

Once active, the schedule runs on its own and delivers to the destination you set.

Creating a schedule

  1. Open the Scheduled exports tab.

  2. Click New.

  3. Fill in the form:

  4. Click Create schedule. It appears in the list, marked Active.

The last field changes depending on the delivery method you choose:

  • Email — select one or more current organisation members with a usable email address. Their responses.export permission and compatible survey access are rechecked at delivery time.
  • Webhook — enter an HTTPS URL. The platform posts the manifest with a stable idempotency key and refuses redirects.

Use email when authorised colleagues should download through the console, and webhook when a downstream system should receive the manifest for a completed scheduled run.

Managing schedules

Each schedule in the list shows its name, frequency, delivery method, and the survey it covers, along with an Active or Paused status.

  • Pause / Resume — click Pause to stop a schedule from running without deleting it; click Resume to start it again.
  • Delete — click the bin icon to remove a schedule permanently.

Pausing is the safe way to temporarily stop deliveries — for example during a quiet period or while you reconfigure a downstream system. Your settings are preserved so you can resume exactly where you left off.

Keeping an eye on them

The metric strip at the top of the Reporting & Export page shows a Scheduled exports count, and the tab carries a badge with the same number, so you can always see how many automated deliveries are configured at a glance.

Each occurrence also appears in Recent exports and on the Exports page, where authorised members can inspect build/delivery state and download retained parts. Pausing or deleting a schedule does not remove the audit history or files from already-created runs.
